What data do we process

As little as possible. Specifically, there are two situations:

• Contact forms: Name, email address and your message. Only when you fill in the form yourself.
• Website analytics: Anonymised visitor statistics via Plausible Analytics. No cookies, no consent required.

We don't build profiles, we don't sell data, and we don't send you commercial email unless you have requested it yourself.

Contact form

If you fill in a form on ovatic.nl, we receive your name, email address and the contents of your message. We use that data solely to answer your question or process your request.

Your data is delivered to us by email and is not automatically stored in a separate system. After your question has been handled we do not retain the email longer than necessary.

The legal basis for this processing is your consent: you filled in and submitted the form yourself.

Website analytics

We use Plausible Analytics to understand which pages visitors view and how the site is found. This allows us to improve the website.

Plausible does not place cookies and does not collect personal data. No IP addresses are stored and data is not shared with third parties. Consent is not required.

The analytical data is fully anonymised and stored on servers within the EU.

Retention period

We do not retain your data longer than necessary. Email correspondence is retained for as long as it is relevant for handling your question. Analytical data is anonymised and contains no traceable personal data.

Ovatic as processor on other websites

Ovatic provides software to theatres, museums, libraries and other organisations. Those organisations can place our widgets — such as a ticket purchase module or reservation form — on their own website. As a visitor to such a website you indirectly come into contact with our software.

In that case we only store a session cookie to make the widget function properly: for example to keep track of your shopping basket during a purchase. This cookie disappears when you end the session or close your browser.

In that situation we are processor, not data controller. That means:

• We do not own your data and do not determine ourselves what happens to it.
• We do not conduct analyses, build profiles or use your data for our own purposes.
• The organisation whose website you visit is the data controller and manages your data.
• We have a data processing agreement in place with every organisation using our software.

Sharing with third parties

We do not sell your data and do not share it with third parties for commercial purposes.

For sending emails via contact forms we use our own mail server. We do not engage external email marketing services for processing incoming messages.

Your rights

Under the General Data Protection Regulation (GDPR) you have the following rights:

• Access: You can request which data we hold about you.
• Rectification: You can have incorrect data corrected.
• Erasure: You can request that your data be deleted.
• Objection: You can object to the processing of your data.
• Data portability: You can request your data in a commonly used format.

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl.
