ticketingtips
How do you choose a ticketing system for your theatre?
You choose a ticketing system for years, not for one season. Which questions actually decide it, what does it really cost, and what should you watch out for when switching? A practical guide for theatres.

Partage settlement explained: how does the financial split between theatre and company work?

Choosing a ticketing system for your theatre
What is the best ticketing system for a theatre?
That depends on what you need besides ticket sales. If you mainly sell individual tickets, a pure ticketing solution is enough. If you also handle programming, venue rental, subscriptions and partage settlement, tying separate systems together costs more than it returns. Ovatic is built for the second case: ticketing, planning, marketing and CRM in one platform. What to look for when choosing is covered in our guide to choosing a ticketing system.
What does a ticketing system for a theatre cost?
At Ovatic, ticketing starts at €180 per month (3,000 tickets per year). Most theatres are on Extended: €1,020 per month for 30,000 tickets. Every package includes consultancy, configuration, training, updates and helpdesk support, and there are no setup costs. Starting venues can begin with Ovatic Light without fixed costs, at €0.85 per ticket. Prices exclude VAT.
Does the system support partage settlement?
Yes. You configure the partage agreement per company and Ovatic settles automatically after each performance. Buyout, partage and rental are all supported. This is one of the functions pure ticketing systems generally do not have.
Can visitors choose their own seat?
Yes. You recreate your hall configurations digitally, including balconies, boxes, wheelchair and reduced-mobility places. Visitors pick their seat on the interactive floor plan, online or at the box office. Switching hall layout per production takes one click, and you can set a different price category per zone.
How does access control at the door work?
Through the same web application: staff scan QR codes directly in the browser, with no separate app, and it works offline. You can manage several entrances at once, scan in and out, and see visitor numbers in real time on the dashboard.
Can I manage subscriptions and season tickets?
Yes, completely: from priority booking rights for subscribers to automatic direct debit and targeted communication per subscription group. Because the CRM sits in the same platform, you see each subscriber's full order history.
Can I migrate from my current ticketing system?
Yes. We can import data from all common systems in the sector — ticketing systems such as Tixly, Ticketmatic or Active Tickets, planning systems such as Yesplan or Smart Event Manager (SEM), legacy software and custom-built in-house systems. A ticketing implementation can be done in 2 to 4 weeks. See switching to Ovatic.
